Legal Terms

1. Assumption of Risk & Release of Liability

I understand that baseball activities involve inherent risks including but not limited to injury from balls, bats, collisions, and physical exertion. I voluntarily assume all risks and release, waive, and discharge Coach Chris Berset, Bishop O'Connell High School, their staff, employees, and volunteers from any and all liability for injury, loss, or damage arising from participation in camp activities.

2. Photo/Video Release

I grant permission for photographs and videos taken during camp to be used for promotional purposes including websites, social media, and marketing materials without compensation or approval rights.

3. Medical Treatment Authorization

In the event of a medical emergency, I authorize camp staff to seek necessary medical treatment for my child. I agree to be responsible for all costs associated with such treatment. I certify that my child is in good health and physically able to participate in all camp activities.

4. Privacy Policy

Information We Collect:

During registration, we collect participant names, dates of birth, parent/guardian contact information (phone, email, address), emergency contact details, medical information including allergies and conditions, and payment information.

How We Use Your Information:

Personal information is used to administer camp registration, communicate important camp updates and schedules, contact you in case of emergencies, maintain attendance and medical records, process payments and refunds, and inform you about future camp offerings and programs.

Information Sharing:

We do not sell, rent, or share your personal information with third parties for marketing purposes. Information may be shared only with: camp staff and coaches on a need-to-know basis for safety and instruction, medical personnel in case of emergency, payment processors for transaction handling, and as required by law or legal process.

Data Security:

We implement reasonable security measures to protect your information. Payment data is processed through secure, encrypted payment systems and is not stored on our servers. Registration information is stored securely and accessed only by authorized personnel.

 

Your Rights:

You may request to review, update, or delete your personal information by contacting us. You may opt out of promotional communications while still receiving essential camp-related updates.

Retention:

We retain registration information for the current camp season and up to two years for operational and legal purposes, after which non-essential data is securely deleted.

5. Terms & Conditions

Cancellation & Refund Policy:

The registration fee minus a $100 cancellation fee is refundable until 14 days before camp start date. After that date, the registration fee is non-refundable. Extended Care is a non-refundable fee once purchased.

Medical Exemptions:

If there is an injury or illness before camp, a medical credit minus a $75 processing fee will be issued for future camp sessions, with a note from the diagnosing physician. A doctor's note must be submitted seven days before the start of camp. Medical credits will not be issued if a note or notification is submitted after the beginning of camp.

If an emergency or injury happens within seven days of the start of camp, please notify us immediately if you need to withdraw, and a doctor's note must be issued within 48 hours of the beginning of camp. A credit will be issued once a note from a diagnosing physician is submitted. Medical credits cannot be redeemed for cash and expire one year from issue date.

Camp Cancellation by Organizers:

If state/federal government agencies prohibit camp operations due to a natural disaster, pandemic, or unforeseen situation, campers will be offered a credit for a future camp session or a refund of the amount paid minus a $75 processing fee. Credits can be used for any future camp session within 18 months.

Weather & Schedule Changes:

In case of inclement weather, we will make every effort to reschedule missed sessions. No refunds will be provided for weather-related cancellations unless multiple consecutive days are affected and rescheduling is not possible.

Health & Safety Requirements: Participants must be in good physical health to attend. Parents must disclose all relevant medical conditions, allergies, and medications on the registration form. Participants showing signs of illness will be separated and parents contacted for pickup. All participants must follow facility rules and staff instructions.

Equipment & Attire:

Participants must bring their own glove and bat (if available). Baseballs and training equipment will be provided. Appropriate athletic attire and footwear required. Participants without proper equipment may be restricted from certain activities for safety reasons.

Behavior & Conduct:

We maintain a positive, respectful environment. Bullying, fighting, use of profanity, or disrespectful behavior toward staff or other participants will not be tolerated. Serious or repeated violations may result in dismissal without refund. Parents will be contacted regarding behavioral concerns.

Drop-off & Pick-up:

Parents must sign participants in and out daily. Participants will only be released to authorized individuals listed on the registration form. Photo ID may be required at pick-up. Late pick-up fees may apply after a 15-minute grace period.

Supervision Limitations:

While we provide appropriate supervision during scheduled camp hours, we are not responsible for participants before drop-off, after pick-up, or during breaks when released to parents/guardians.

Modifications:

We reserve the right to modify camp schedules, activities, or location due to facility availability, weather, enrollment numbers, or other circumstances. Significant changes will be communicated promptly via email.

Liability Limitations:

Our liability is limited to the amount of camp tuition paid. We are not responsible for lost, stolen, or damaged personal property.

Governing Law:

This agreement is governed by the laws of Virginia. Any disputes will be resolved in the courts of Arlington County, Virginia.
